Technology

P2P utilizes the latest in technology to provide a virtually endless number of services its client associations.  Whatever the specific needs of your association may be, P2P is able to custom-tailor and seamlessly implement a solution to fulfill those needs.  The following is a brief list of just some of the ways P2P has utilized the latest technology to directly benefit its client associations:

  • Association website creation, maintenance/management/optimization
  • Online assessment payment portal creation and implementation
  • Financial record creation/management— for the association and each of its homeowners
  • Architectural Review Committee proposal submission portal creation, which allows homeowners to electronically submit exterior improvement proposals directly to you association’s ARC for review.
  • Declarations & bylaws violations tracking and management— detailed histories of each cited homeowner violation, along with all pertinent documentation and notifications, are cataloged.
  • Vendor work order management
  • Improved community communications— online member directories, mass email and text lists

Communications

P2P offers live phone support for its clients during normal business hours and offers emergency phone support around the clock.  This is in addition to the 24/7 online access and support provided to each client by P2P as well. 

Records of all written communication and correspondence are kept for each of P2P’s client associations.

Improved Board Efficiency

Streamlining and improving the efficiency of each client association board is one of P2P’s primary objectives with each of its clients.  From instituting cloud-based accounting systems and offering online assessment payment options to a client association, to implementing an up-to-the-minute violation and past-due account collections database, and anything in between, P2P is fully equipped to meet the specific needs of your association.

P2P custom tailors its management solutions to the exact needs of its client associations.

The implementation of an online database/repository for each client association has proven to be invaluable to many of P2P’s client associations.  Homeowners each receive their own personal log-in credentials, granting them access to the association’s governing documents, up-to-date financials, association insurance policy documents, and any other items or documents a client association may wish to provide to its ownership.  Owners are also able to remit payments to the association online via the association payment portal provided online by P2P.  Online payments are automatically cataloged and recorded by P2P, keeping the financial records of a client association truly up-to-date.

Association meeting correspondence, attendance management, and documentation can be handled entirely by P2P.

Legal Compliance

P2P ensures that each client association operates entirely within the association’s own governing documents (declaration, bylaws, code of regulations, etc.) and Ohio Revised Code.

Should any ambiguity or conflict be found between an association’s governing documents and Ohio Revised Code, P2P is capable of formally drafting amendments, conducting votes of the ownership to approve those amendments, and ultimately ratifying those amendments once those conditions are met.

Consulting Services

If your association is self-managed and plans to remain self-managed, P2P offers consulting services to assist your association in whatever capacity it may need assistance.  A full-service contract is not required for P2P to work with any association.  Examples of consulting services P2P offers include:

  • Governing document review— revision/amendment, conducting any votes of the ownership that may be necessary to implement an amendment, ensuring compliance with Ohio Revised Code.
  • Declarations/bylaws enforcement (violations management)— Conducting on-site property inspections, documenting any violations, corresponding with homeowners to remediate violations, issuing noncompliance assessments when necessary, and documenting the entire process to aid the association in any legal proceedings (should that ever be necessary).
  • Audits of association finances
  • Preparation of annual budgets
  • Past due account collections assistance
  • Vendor quote/contract assistance
